How trōfik uses AI with information
Artificial intelligence helps project teams organize evidence, recognize patterns, prepare communications, and practice difficult conversations. This page explains what that means in plain language.
Three things to know
- AI assists people; it does not own decisions.
- Important outputs must be checked against available evidence before action or publication.
- TAP is not intended to make autonomous decisions about a person's legal rights, employment, credit, housing, benefits, or access to essential services.
What information AI may process
The information depends on the feature a customer chooses to use. It may include:
- Project notes, meeting records, survey answers, and uploaded documents.
- Names, roles, organizations, and contact notes entered by an authorized project team.
- Voice recordings or photographs submitted through a field-capture workflow.
- Practice-session audio and transcripts.
- News, public records, and public web sources relevant to a project.
- Earlier platform summaries, scores, themes, and other derived project information.
We aim to send an AI provider only the information needed for the requested task. Customers should avoid submitting unnecessary sensitive information.

Our Subprocessor page identifies the service providers that may process customer information. Older Daily-based Practice code is retired and is not the current Practice service.
How people remain involved
Review depends on the feature and the importance of the use:
- Field-capture extraction creates information that an authorized user can review and correct.
- Governed workflows may require confirmation, approval, or a publication step.
- Interactive features may respond immediately. Those outputs are assistance and must not be treated as verified facts.
- High-impact or public uses require a qualified person to check the evidence, context, and limitations before action.
Composite stakeholder types
TAP may create evidence-grounded composite stakeholder types to help teams practice and plan. A composite is a planning tool, not a real person, a secret psychological profile, or a statistically representative poll. Platform instructions tell the AI not to invent missing facts or fabricate personal details.
Our safeguards
- AI provider credentials are controlled by Trofik rather than exposed as reusable keys to end users.
- Internal project access is restricted to authorized users and separated by project.
- Uploaded material is stored in private storage rather than intentionally published to the open web.
- Rate limits and request controls help reduce automated misuse.
- Public survey and voice workflows are designed to present appropriate notice or consent before collection.
- Provider usage is reviewed as part of our vendor and AI-management process.
AI provider data handling
AI providers process inputs and outputs under their business or API terms and their configured retention controls. Trofik does not intentionally opt customer content into voluntary provider model-training programs. Some providers may temporarily retain content or related safety logs under their standard API terms. Exact retention can vary by provider, endpoint, account setting, and contract.
Trofik does not sell personal information and does not operate a foundation model trained on customer project content.
Limits and corrections
AI can misunderstand context, miss information, or produce inaccurate material. Users should examine citations and original evidence where available. If you believe personal information about you is inaccurate or should be removed, email christian@trofikimpact.com. We may coordinate with the customer that controls the relevant project.
